Receptionist/Administrative Assistant

Hicks Adams LLP is one of the largest and most seasoned Criminal Defence Law Firm’s in Canada. Located in downtown Toronto, the firm is currently seeking a receptionist/administrative assistant.

The desirable candidate will be reliable, organized, and can provide a high calibre level of service both internally and to our clients.

Some of the Duties and Responsibilities include:

  • Managing switch board – answering phone and dealing with all inquiries.
  • Collect messages from fax machine, answering service and distribute
  • Delete messages from answering service and reception phone
  • Open Mail and distribute to appropriate mailboxes
  • Central filing
  • Log in videos and cd’s
  • Set up access defence calls for the lawyers
  • Court Tracker – entering dates, daily and weekly meetings
  • Opening files- regular and shadows
  • Processing Credit Card Payments
  • Lawyer’s request (ie. photocopies, binding, fax, etc.)
  • Filing of confidential and accounts receivable, as well as loose correspondences
  • Calling and obtaining return dates from court/student/lawyer
  • Closing Files/Retrieving files from storage/General file organization

Requirements

  • Highschool diploma, post-secondary degree or diploma preferred
  • Experience working in professional office setting an asset
